Lights On Ōamaru – Christmas Lights Drive-By

Participant Agreement & Consent

Thank you for being part of *Lights On Ōamaru – Christmas Lights Drive-By*, a community-focused creative project celebrating local Christmas light displays, produced by *What’s On Ōamaru*.

By participating, you’re helping create something fun and positive for the local community. To make sure everyone is comfortable and clear on expectations, please read the following carefully.

These are applied in addition to** the General Terms & Conditions.

1. Participation & Consent

By taking part in this project, you confirm that:

* Your participation is voluntary
* You are comfortable being filmed and photographed during the event
* You understand this is a creative/media project, not a paid acting role
* You may appear incidentally or intentionally in video, photos, and social content

2. Content Use & Ownership

You agree that:

* All photos, video, audio, and related content captured during the event may be used by *What’s On Ōamaru*
* Content may be edited, combined, shortened, or repurposed for social media, promotional, archival, or future use
* Ownership of all recorded material remains with *What’s On Ōamaru*
* Participation does not grant ownership, approval rights, or editorial control

This includes (but is not limited to) use on social media, websites, future compilations, advertising, or media releases.

3. Posting & Sharing Guidelines

To keep the project coordinated and fair for everyone:

* Participants may share live stories on their own social media accounts during the event
* Live stories may tag *What’s On Ōamaru* (optional but appreciated)
* Any stories shared should be saved so they can be included in the final edit if requested
* Participants agree not to post edited videos, reels, or photos from the event until after the official release, unless explicitly approved

This helps ensure the final project lands well and avoids spoilers or confusion.

4. Conduct & Behaviour Expectations

This is a positive, community-facing project. Participants agree to:

* Be respectful toward homeowners, the public, and other participants
* Avoid offensive, defamatory, or aggressive behaviour
* Avoid excessive swearing or inappropriate commentary while recording
* Not reference or promote other businesses, organisations, or affiliations unless pre-approved
* Follow basic safety and common-sense expectations

If something feels unclear or awkward on the night, it’s always okay to pause or step back.

5. Assumption of Risk & Liability Waiver

You acknowledge that:

* Participation involves normal, everyday risks associated with being in public spaces and vehicles
* You participate at your own risk
* To the fullest extent permitted by law, you release *What’s On Ōamaru*, its organiser, collaborators, and contributors from liability for injury, loss, or damage arising from participation

This project does not replace personal responsibility or common sense.

6. Confidentiality & Project Integrity

By participating, you agree to:

* Keep behind-the-scenes details, planning discussions, and internal decisions confidential
* Not independently recreate or reproduce the project format or concept
* Not represent yourself as a partner, organiser, or rights-holder
* Not share internal processes or future plans with third parties

This helps protect the integrity of the project and future community initiatives.

7. Final Acknowledgement

By submitting this form, you confirm that:

* You have read and understood these terms
* You agree to participate under these conditions
* You are happy to be involved in a fun, community-led project
